1. Scope

These General Terms and Conditions (GTC) apply to all bookings, contracts, and services offered under the SITOS – Retreats brand. By booking a retreat, event, or any other service (e.g. training sessions, ceremonies, or online calls), participants agree to these terms.

2. Subject Matter and Services

We offer various formats, including but not limited to:

  • Day Retreats

  • Weekend Retreats

  • Week-long and international retreats

  • National and international retreats

  • Signature Retreats

  • Special Events (e.g. bachelor/bachelorette parties, birthday celebrations, and other private events)

  • Corporate events (single or multi-day)

  • Private training sessions

  • Group training sessions (including personal training)

  • Cacao and tea ceremonies

  • Private cooking experiences

  • Meditation sessions

  • Online video calls

The presentation of our offers on our website does not constitute a legally binding offer.

Only the services explicitly agreed upon are included in the booking. Accommodation, meals, and program content depend on the selected offer.

Travel to and from the event is not included and is the sole responsibility and expense of the participant.

Participants are required to inform us in advance of any allergies, intolerances, health conditions, or physical limitations. Failure to do so is the participant’s responsibility.

3. Conclusion of Contract

A contract is concluded when the participant makes a booking via our website, email, or other written communication and receives our written booking confirmation.

4. Prices and Payment Terms

All prices are currently calculated in accordance with the German small business regulation (§ 19 UStG) and are exempt from VAT. Should this status change, the applicable statutory VAT will be shown separately.

The invoice amount must be paid in full. Installment payments are not available.

For website bookings, the full amount is due immediately.

For individual bookings and invoices, payment must be received within three days from the invoice date. The date of receipt of payment shall be decisive.

Payment on-site is only possible if expressly agreed in advance.

5. Withdrawal, Cancellations, and Refunds

The current Cancellation and Refund Policy of SITOS applies and forms an integral part of these General Terms and Conditions.

SITOS accepts no liability for consequential costs, including travel expenses, accommodation costs, or cancellation fees charged by third parties.

For multi-day and international retreats, we strongly recommend purchasing appropriate travel cancellation insurance.

Participants may nominate a replacement participant. Acceptance of a replacement participant is subject to prior approval by SITOS and is not guaranteed.

6. Cancellation by the Organizer and Program Changes

We reserve the right to cancel or postpone a retreat or event due to organizational reasons, illness, or circumstances beyond our control.

In such cases, payments already made will be refunded in full. Alternatively, participants may be offered the option to reschedule to another date.

Minor changes to the program, schedule, content, accommodation, or instructors are permitted, provided that the overall nature of the event is not significantly affected.

7. Liability, Health, and Participation Requirements

Participation is at the participant’s own risk and responsibility.

Participants are required to inform us in advance of any allergies, pre-existing medical conditions, or physical limitations.

We are only liable for health-related damages or accidents in cases of intent or gross negligence. These limitations of liability do not apply to damages resulting from injury to life, body, or health, nor to claims arising under mandatory statutory provisions.

We accept no liability for personal belongings, especially valuables.

We reserve the right to exclude participants from further participation in cases of seriously disruptive behavior or if they pose a risk to other participants. This applies in particular to aggressive behavior, disregard of safety instructions, violations of house rules, or the consumption or possession of alcohol, drugs, or other intoxicating substances where prohibited by the accommodation provider or by SITOS.

Exclusion from an event does not entitle the participant to any refund.

Participation is generally restricted to individuals aged 18 and over. Minors may only participate with the consent and accompaniment of a parent or legal guardian.

8. Photo and Audio Recordings

Photographs and videos may be taken during our events for documentation and marketing purposes.

Participants who object to the creation or use of photo, video, or audio recordings are requested to inform us before the start of the event. We will take such requests into account within the framework of legal requirements and organizational possibilities.

9. Amendments to the General Terms and Conditions

We reserve the right to amend these General Terms and Conditions at any time. Amendments shall not apply retroactively and customers will be informed in due time.

10. Governing Law

These General Terms and Conditions are governed exclusively by German law. Mandatory statutory provisions regarding jurisdiction remain unaffected.

11. Severability Clause

Should any provision of these General Terms and Conditions be or become wholly or partially invalid or unenforceable, the validity of the remaining provisions shall remain unaffected.
